Ongoing operations management

We run the day to day back office work against a standard you set, and take responsibility for whether it happens. You get somebody accountable for operations who isn't you, without adding an executive to payroll.

The difference

A fractional COO gives you somebody to think about the problem a few days a month. This gives you somebody who owns the outcome and manages the people doing the work, so nothing is left over for you to pick up.

How we handle your data

  • Your systems stay yours.

The work happens in your own accounts, on your own subscriptions, under your ownership. Nothing leaves the systems you have given us access to.

  • Access is requested, never assumed.

Read only wherever the work allows it, asked for per system rather than granted in bulk, and named per person. Credentials are never shared, and your records never sit on personal devices.

  • Preparing stays separate from approving.

A second person reviews before anything is filed or closed. On payables we prepare the run and you're the one who releases it.

Who it’s for

Owners who have documented processes, or want us to build them, and now need somebody to make sure the work actually happens. Usually the point where you're past managing it yourself but not ready to pay for a full time operations hire.

How we help

  1. 01 We take ownership of the recurring operational work and of whether it gets done, not just of the hours spent on it.
  2. 02 We agree the standard up front, including what finished looks like and how fast things should move, so being accountable means something specific.
  3. 03 We track what is done, what is due, and what is stuck, and we chase it instead of you.
  4. 04 We bring you the exceptions that genuinely need a decision and handle the rest, so your attention goes to choices rather than status updates.
  5. 05 We report on whatever rhythm suits you, whether that's a weekly summary or a monthly sit down.

What you get

  • Operations that run to a standard rather than to your reminders.
  • One accountable point of contact who knows your business.
  • A view of whether things are on track, without managing the detail yourself.
  • Problems raised while they're small, instead of discovered at month end.
  • Room to grow the operation without you becoming the bottleneck.

What owners ask about ongoing operations management

How is this different from hiring a fractional COO?

A fractional COO brings judgment for a few days a month and then hands the work back to your team. Here the team doing the work is ours and managed by us, so you aren't left holding the execution between visits.

How is this different from a managed operations team?

A managed operations team is about the staff, a multi role unit that runs a function for you. This is about the management layer and the standard the work is held to. Plenty of clients take both, and when they do it's one arrangement with one point of contact, not two suppliers to coordinate.

What if we do not have documented processes yet?

Then we start there. We can document as we take the work on, which is usually faster than documenting first, because writing it down while running it catches the steps people forget to mention. Where the problem isn't yet clear, an operations review comes first.

Who is accountable when something goes wrong?

We are, and you should hear it from us before you find it yourself. You get a named person rather than a ticket queue, the reason it happened, and what changed so it doesn't repeat.

Can we start with one function?

Yes, and most clients do. One function that hurts is a better starting point than the whole back office, because you find out how we work before much is riding on it.
