SOP & workflow design

We turn the way your business runs in your head into workflows that are written down and repeatable. Each one is built so it can be handed to a new person or built into an automation, without needing a rewrite first.

The difference

Most SOP work produces a document nobody opens twice. We design the process before we write it, so what you get is something a new hire can follow and a developer can build from.

Before you hand anything over

How we handle your data

  • Your systems stay yours.

The work happens in your own accounts, on your own subscriptions, under your ownership. Nothing leaves the systems you have given us access to.

  • Access is requested, never assumed.

Read only wherever the work allows it, asked for per system rather than granted in bulk, and named per person. Credentials are never shared, and your records never sit on personal devices.

  • Preparing stays separate from approving.

A second person reviews before anything is filed or closed. On payables we prepare the run and you're the one who releases it.

Who it’s for

Owners whose operations depend on them remembering every step, and teams where the same job comes out differently depending on who did it. Also anyone who has tried to automate something and discovered there was no agreed process to automate.

How we help

  1. 01 We map the workflow as it runs today, including the workarounds people invented and never mentioned to you.
  2. 02 We redesign the parts that are manual, repetitive, or easy to get wrong, before anything gets written down. Documenting a broken process only makes it official.
  3. 03 We write each step so the person running it for the first time can follow it without asking you.
  4. 04 We mark the steps a system should be doing instead of a person, so the automation work has somewhere to start.
  5. 05 We test the finished workflow on someone who has never run it, then fix whatever they got stuck on.

What you get

  • Written procedures for the operations you actually depend on.
  • Workflows built to be handed over rather than memorized.
  • A clear line between what a person should do and what a system should do.
  • A specification an automation or an internal tool can be built from, when you're ready for that.
  • The same job done the same way, whoever is doing it.

What owners ask about SOP & workflow design

Do you document what we do now, or improve it?

Both, in that order. We capture the current process first, because that's where the real steps live, then fix the parts that are manual, error prone, or only in your head. Writing down a broken process just makes it permanent.

How much of my time does this take?

Less than owners expect. Most of the work is us watching the job happen and asking questions afterwards. You're needed for the decisions, not for the writing.

What does a finished SOP actually look like?

Short, plain, and specific to your business. The steps in order, who does each one, what to do when the usual exception turns up, and what finished looks like. It isn't a policy manual and nobody needs to read it cover to cover.

Do we need this before we automate anything?

Usually yes. An automation needs an agreed process to copy. Without one it just makes a single person's version of the job permanent, and that's often the version with the workaround baked into it.

What happens when the process changes?

Processes change, so the documents have to change with them. Keeping them current sits under documentation and systemization, and it's the part most businesses skip.
