Accounts payable
We process your bills, schedule payments to protect cash flow, handle the vendor back and forth, and code every expense so your reporting means something.
The difference
Invoice data is captured rather than typed, so bills are processed within a day and early payment discounts are still available when the decision gets made.
We prepare the run, you release it
Before you hand anything over
How we handle your data
-
Your systems stay yours.
The work happens in your own accounts, on your own subscriptions, under your ownership. Nothing leaves the systems you have given us access to.
-
Access is requested, never assumed.
Read only wherever the work allows it, asked for per system rather than granted in bulk, and named per person. Credentials are never shared, and your records never sit on personal devices.
-
Preparing stays separate from approving.
A second person reviews before anything is filed or closed. On payables we prepare the run and you're the one who releases it.
Who it’s for
Businesses paying late fees, missing early payment discounts, or losing hours a week to vendor email. Also anyone who has worked out that whoever pays the bills quietly controls how accurate the reporting is.
How we help
- 01 We process incoming invoices within one business day, so nothing sits in an inbox until it's overdue.
- 02 We schedule payments against your terms and your cash position, rather than paying everything the moment it arrives.
- 03 We handle vendor correspondence: queries, statements, missing invoices, and disputes.
- 04 We code and allocate every expense to the right account, job, or department.
- 05 We flag duplicates and unexplained price changes before they get paid, not after.
What you get
- Bills paid on time, without paying early for no reason.
- Late fees and duplicate payments largely gone.
- Vendor questions handled by someone other than you.
- Expenses coded properly, so the reporting built on them holds up.
- Approval stays with you. We prepare the run, you release it.
What owners ask about accounts payable
Does this give you access to move our money?
Not unless you choose to set it up that way. The standard arrangement is that we prepare the payment run and you approve and release it. Preparing and approving sit with different people on purpose, and that separation is worth keeping.
How fast do invoices get processed?
Within one business day of reaching us. Speed is what keeps early payment discounts on the table and stops a small query turning into an overdue account.
Can you work with our approval process?
Yes. We fit the routing you already use, including per person or per amount thresholds. If you don't have one, we'll set one up, because an approval process is most of what stops payables going wrong.
What about expenses that need job costing?
We code to job, project, or department wherever your accounting platform supports it. For construction and trades this is the difference between reporting that helps you bid and reporting that just files.
Do you deal with our vendors directly?
Yes. Statements, missing invoices, and payment queries come to us rather than to you. Anything that needs a commercial decision comes back to you with the context attached. Most clients run this alongside accounts receivable, so both sides of the cash cycle sit with one team.
